What this notice covers

How we handle personal information from our website at alconintel.com, enquiries about our courses including the Military Intelligence Operator Course, Build the Battlespace workshop registrations, and related marketing and advertising.

It is limited to those activities and is not a company-wide policy. It does not cover our other software products, course assessment or payment handling.

What we collect

From you, through our forms. Your name and email address, and your answers about your role, your experience, your purpose for attending and your timing.

Each form shows which fields are required and cannot be submitted while a required field is blank. Which qualification questions are required depends on the form you are using and is shown where you answer it.

Leaving an optional field blank does not restrict your access. Everyone who registers receives the workshop resources we have promised, whatever they answer.

Automatically when you visit. Our website platform and Meta advertising tag collect pages viewed, date and time, device type, browser and IP address.

From Meta, if we run registration forms inside Facebook or Instagram. We plan to use Meta's own registration forms. If we do, Meta passes us the registration details you give it, with form, advertisement and campaign identifiers and timestamps where Meta makes those available. Answers you give inside a Meta form are collected by Meta as well as by us.

How we use it

To run the workshop and send the resources, joining details, confirmations and changes you registered for.
To answer your enquiries about our courses.
To send marketing emails where you have agreed to receive them. Every marketing email identifies us and includes an unsubscribe link, and we action unsubscribe requests within five working days.
To measure advertising performance and to show advertisements to people who have visited our site or engaged with our content.
To improve our website, our forms and our course material.

Answering a question on its own is not agreement to receive marketing from us. Submitting a registration form is different: where the form states clearly before you submit that registering signs you up for workshop emails and Military Intelligence Operator Course promotional emails from ALCON Intelligence Ltd, submitting that form is your consent to both. That consent covers this course launch only, not unrelated future products. Our promotional emails include a working unsubscribe link, and unsubscribing does not remove your workshop access. Consent to analytics and advertising tracking is handled separately and is not granted by registering.

Workshop messages and marketing are different

We distinguish requested workshop and resource messages from optional marketing. A message that promotes a course still needs to meet the rules for marketing messages. Opting out of marketing does not withdraw your workshop access or the resources we promised.

Automated email delivery is not guaranteed once you have unsubscribed. If something you registered for does not reach you, email [email protected]. We will send it directly without adding you back to promotional email.

Planned sorting of follow-up

We plan to use your purpose and timing answers in an automated step that sorts registrations, so we know who to contact first and what to discuss. That step is not running at present. If we bring it into use, it will affect the order and content of our follow-up only.

It will not decide whether you can attend, it is not used for employment or educational eligibility decisions, and it is not a prediction about you. You can email us and ask a person to look at how your registration was handled.

Who else handles your information

Kajabi hosts our website, registration and contact records, tags, welcome emails and email engagement reporting, and holds that information on our behalf.

Meta (Facebook and Instagram). A Meta advertising tag loads on our site and records page views and form submissions. Meta can receive the page address, event details, device and browser information and your IP address, and where configured, identifiers used to match you to a Meta account.

Meta also uses what it receives for its own purposes under its own terms, which we do not control. Meta's privacy policy is at Meta’s privacy policy.

For our current campaign we upload hashed email addresses of existing customers so that Meta can exclude those people from our advertisements. Hashing turns an address into a matching identifier. It is not anonymous.

We have not approved using that list to build advertising or lookalike audiences.

Zapier. Where we connect it, Zapier moves registration details between Meta and Kajabi for us.

Cookies and advertising tags

Use Cookie settings on our website to accept or refuse optional browser cookies from Google Analytics and Meta. These cookies are refused until you choose to accept them. We store your choice in your browser for up to 180 days. You can change it at any time.

Essential site and form features remain available. These controls cover browser cookies. Our existing direct connection from Kajabi to Meta remains enabled and is separate from these controls. Google may also receive measurements that do not use cookies.

We have not verified the tracking consent requirements that apply to visitors in every country we may advertise in. You can also manage cookies through your browser settings and change your advertising preferences in your Meta account settings. Those controls do not replace any prior consent requirement that applies where you live.

Where information is held

Kajabi, Meta and Zapier are overseas providers and store and process information outside New Zealand, including in the United States. Kajabi and Zapier hold and move information as our providers. Meta also uses what it receives for its own purposes.

We have not completed a review of the safeguards that apply to these transfers, and we do not claim that comparable protections have been verified. Email us for further detail. Using our website or registering is not agreement to every overseas use of your information.

How long we keep it

We keep personal information only as long as we need it for the purpose we collected it for, then dispose of it. If you unsubscribe or ask us not to contact you, we keep a limited record of that request so we can honour it. That record is not your full marketing profile.

Your rights

You can ask for the personal information we hold about you and ask us to correct it. We may need to confirm your identity first. If we decline a correction, you can ask us to attach a statement of the correction you sought, and we will attach it.

You can ask us to stop sending marketing at any time. These rights are set out in the New Zealand privacy principles on access and correction. Depending on where you live you may have further rights, and this notice does not limit them.

If you are unhappy with how we have handled your information, email [email protected]. If our response does not satisfy you, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.

Security

We use the account and access controls available in the platforms that hold our registration and contact records, and we take reasonable steps to protect your information. No website or email system is completely secure, and we cannot guarantee the security of information sent to us over the internet.

Changes

We will update this notice as our systems and agreements change, and show the date of the current version when we publish it.
